AI Governance for SMBs: Where to Start
Your employees are using AI tools right now. ChatGPT, Copilot, Gemini — they’re writing emails, summarizing documents, generating code, and analyzing data. The question isn’t whether AI is in your organization. It’s whether you have any control over how it’s being used.
For small and mid-sized businesses, the temptation is to either ignore AI entirely or adopt it with no guardrails. Both approaches carry serious risk. The first leaves you falling behind competitors. What AI governance actually means

Who’s responsible for the output? AI generates plausible-sounding content that can be wrong. Your policies need to establish that humans are always accountable for AI-assisted decisions and deliverables.
Start with a lightweight policy
You don’t need a 50-page document. A one-page acceptable use policy covers the essentials:
- Approved tools — list them by name, with links to their privacy policies
- Data handling rules — what categories of data are off-limits for AI input
- Review requirements — when AI output must be human-reviewed before use
- Incident reporting — what to do if someone accidentally shares sensitive data with an AI tool
Post it where your team can find it. Reference it in onboarding. Review it quarterly as tools and regulations evolve.
The compliance angle
Depending on your industry, AI governance isn’t optional. SOC 2 auditors are already asking about AI tool usage. HIPAA-covered entities need to ensure protected health information isn’t flowing into consumer AI tools. And the EU AI Act is introducing requirements that will affect any business with European customers or employees.
Getting ahead of these requirements now — even with a basic framework — is dramatically easier than retrofitting governance after an incident.
